# Pupil Provisions

> Getting Started

> [!NOTE]
>
> Initial module enablement and manager assignment must be performed by an `Administrator`.

## Quick Start

Follow these four steps to enable and launch the Pupil Provisions module for your school:

**1. Enable the Pupil Provisions Module**

Navigate to **Administration** > **Modules** in the main navigation. Locate **Pupil Provisions** and toggle the module to **Enabled**.

**2. Assign a Provisions Manager**

In **Administration** > **Staff**, assign the `Provisions Manager` role to designated leaders (such as the Special Educational Needs Coordinator (SENCO), Inclusion Manager, or Assistant Head for Pastoral Care).

> [!TIP]
>
> Until at least one `Provisions Manager` is assigned, administrators receive automated alerts reminding them to delegate module leadership.

**3. Open the Pupil Provisions Hub**

Reload the page and select **Pupil Provisions** from the main navigation sidebar (or navigate directly to `/pupils` or `/areas`).

**4. Review Support Areas & Default Provision Catalogue**

Navigate to **Areas** (`/areas`) and **Manage** (`/admin/areas`) to review pre-loaded provision areas and confirm default support items reflect your school's educational phases and specialist services.

## Further Setup (Manager Guide)

> [!NOTE]
>
> Operational configuration, staff permissions delegation, area creation, and item taxonomies are managed by an appointed `Provisions Manager` via the **Manage** console (`/admin/areas`).

### 1. Authorising Owners & Viewers

Navigate to **Manage** > **Owners** (`/admin/owners`) and **Viewers** (`/admin/viewers`):

* **Grant Owner Permissions (`provisions_own`)**: Authorise Higher Level Teaching Assistants (HLTAs), Emotional Literacy Support Assistants (ELSAs), Key Stage leaders, heads of year, and subject specialists to manage assigned provision areas and update pupil intervention delivery.
* **Grant Viewer Permissions (`provisions_view`)**: Authorise governors, trustees, administrative staff, and multi-agency link workers who require read-only visibility into whole-school provision mapping and pupil dossiers without editing privileges.

### 2. Configuring Areas of Provision

In **Manage** > **Areas** (`/admin/areas`):

* Click **New Area of Provision** to create custom categories that reflect your school's support architecture (e.g. *Communication & Interaction*, *Cognition & Learning*, *Social, Emotional & Mental Health (SEMH)*, *Sensory & Physical*, *EAL & Language Development*, *Pastoral & Attendance*).
* Designate an **Area Owner** from the staff dropdown to take overall responsibility for monitoring that support category.
* Use table checkboxes and select **Change Owners** with **Cascade to items** enabled to quickly assign an Area Owner across all nested provision items simultaneously.

### 3. Populating Specific Provision Items

Click an area name in **Manage** > **Areas** to open its items editor (`/admin/area/{area}`):

* Click **New Provision** to define specific interventions, resources, or reasonable adjustments (e.g., *1:1 Precision Teaching*, *Colour Overlay Provision*, *Small Group Social Skills*, *Sensory Circuit Routine*).
* Provide a clear, actionable description for staff members.
* Assign a specific **Item Owner** (e.g., the specific HLTA or specialist delivering the intervention).
* Use the drag handles (`fa-bars`) to order items into a logical operational hierarchy.

### 4. Linking Centrally Synchronised Frameworks (MAT Settings)

In multi-academy trusts or federations with central tenant configuration:

* Items synchronised from the central trust template display a locked indicator.
* Local managers cannot delete or alter synced descriptions, ensuring alignment across schools while allowing local pupil allocation and note recording.

## Staff Workflow & Graduated Response Cycle

Once the provision catalogue is established, staff can deliver and record pupil support through an efficient four-step routine:

**1. Identify Pupil Support Needs**

Class teachers, SENCOs, and pastoral leads identify a learning barrier, emotional need, or required access arrangement as part of the *Assess* phase of the graduated response.

**2. Select Pupil & Category**

Navigate to **Pupils** (`/pupils`), locate the pupil using search filters, click into their profile (`/pupils/{pupil}`), and select the appropriate Area card (e.g., *Cognition & Learning*).

**3. Set Implementation Status & Log Commentary**

In the area workspace (`/pupils/{pupil}/{area}`), click the item avatar to open the **Edit Modal**. Update the status (*Implemented*, *Multiple implementations*, *Not yet offered*, *Refused*, *Ineligible*) and record detailed narrative notes regarding frequency, group size, targets, and expected outcomes.

**4. Review Impact & Stream Dossiers**

During termly progress meetings or annual reviews, open the pupil profile, inspect progress across all areas, and click **Print PDF** to stream an official, formatted pupil provision dossier for parents, specialists, and annual review records.
