# Risk Assessment: Create, Approve and Share Assessments

> Let any staff member write a risk assessment, then have it approved before it goes live, with automated re-approval alerts and read confirmations.

Recording risk assessments consistently and clearly is important in every school — whether you are planning an adventurous trip, teaching students in a laboratory, or managing a playground. The risks, hazards, and routine controls are often well understood by experienced staff, but every time a new colleague joins there will be something that everyone else takes for granted. A well-maintained library of risk assessments provides a clear reference for all staff and enables a systematic review of controls to take place after accidents or incidents occur. The Risk Assessment module gives every member of your team a single place to write, approve, read, and act on risk assessments.

## Key Features

* **Any staff member can create a risk assessment** — you do not need a special role to write and submit a risk assessment, so your whole team can contribute.
* **Designated Approvers** — before a risk assessment is available to all staff it must be reviewed and approved by a designated Risk Assessment Approver, ensuring quality and accuracy.
* **Re-approval alerts** — if a risk assessment is updated, or if more than a year has passed since it was last approved, the Approver is automatically alerted to review and re-approve it.
* **Actions with due dates and reminders** — specific actions can be added to any risk assessment and assigned to staff members with a due date. Staff are reminded as actions become due or overdue.
* **Read confirmations** — staff can confirm that they have read and understood a risk assessment. If the assessment is subsequently updated, they are alerted and asked to re-confirm their understanding of the changes.
* **Risk areas for grouping** — organise assessments into risk areas (for example, Science, Educational Visits, or Maintenance) to make them easy to find and filter.
* **Confidential assessments** — mark a risk assessment as confidential to restrict visibility to only those staff who are authorised to see it.

  All staff have access to the full list of risk assessments unless they are marked as confidential. Do not include personal information or use this module to record risk assessments for identifiable individuals unless you enable the confidentiality feature.

  If a risk assessment is updated or is older than a year, Approvers are automatically alerted to review and re-approve it — keeping your library accurate without any manual chasing.

## Roles in Risk Assessment

**Risk Assessment Manager**

The Risk Assessment Manager can create and manage risk areas, configure the module, and has full oversight of all risk assessments in the system.

**Risk Assessment Approver**

The Risk Assessment Approver reviews risk assessments submitted by staff and approves them for wider publication. Approvers are automatically notified when assessments require re-approval due to updates or age.

**Staff**

Any member of staff can write and submit a risk assessment, and can read all approved assessments (unless they are marked confidential). Staff can also confirm they have read individual assessments and will be alerted if those assessments are subsequently updated.
