Without a structured system, it is easy for inspections to be missed, for failing checks to go unactioned, or for managers to lack visibility of where problems exist across a large or multi-site school. The Room Checks module gives your site team a clear schedule of inspections, a consistent framework of checks for every room, and an automatic alert system to ensure that failing items and overdue inspections are never overlooked.

Laboratories, workshops, and other specialist rooms often have more frequent inspection requirements. Make sure you configure appropriate check frequencies for these spaces when you set up the module.

Setting Up Room Checks

Enable the Module

Navigate to Administration > Modules and enable Room Checks for your school.

Assign a Site Manager

Assign the Site Manager role to the members of your site team who will carry out and record inspections.

Add Your Buildings and Rooms

Create your buildings (and sites, if you are a multi-site school) and add all the rooms and areas that need to be checked.

Configure Check Frequencies for Specialist Rooms

Review the default annual check frequency for each room and update it for any specialist spaces — such as science labs, design and technology workshops, or swimming pool areas — that require more frequent inspection.

Begin Recording Checks

Your site team can now start recording inspections. Any failing checks will generate actions and alert the Site Manager automatically.
You can add rooms incrementally — you do not need to set up every room before you start. Begin with your highest-priority or highest-risk spaces and add others as you go.
