Enabling Modules
Each module must be enabled individually before it becomes available to your staff. To do this, go to the Administration section and select Modules from the left-hand menu. You will see a list of all available modules. Toggle any module on to enable it — it will appear immediately in the left-hand navigation for all users who have been assigned a role within it.Adding Users
You can add staff to Clever School Systems in two ways:- Manual invitation — Enter a staff member’s email address and send them an invitation. They will receive an email with a link to set up their account. This is the quickest option for small teams or individual additions.
- Bulk import — Upload a spreadsheet of staff details to add multiple users at once. This is useful when setting up the platform for the first time.
User Roles and Permissions
Clever School Systems uses a layered role model to keep access clear and appropriately controlled at every level of your school.- Administrator — Has full access to the platform, including the ability to enable and disable modules, manage all user accounts, and configure school-wide settings. This role should be held by the Headteacher or Business Manager. It is set up during registration.
- Module Manager — Has management access to a specific module. Managers configure that module’s content, monitor activity, and assign Owners to areas or items within it. The Administrator assigns this role.
- Module Owner — Is responsible for specific areas or items within a module (for example, owning a particular risk assessment or a development planning priority). This role is assigned by the Module Manager.
- Staff / User — Can read content and contribute to the modules they have access to, according to the permissions set by the Module Manager or Module Owner.
External Authentication
Clever School Systems supports login via external identity providers — including Google and Microsoft — so your staff can use single sign-on (SSO) with their existing school email credentials. This removes the need for a separate Clever School Systems password and makes it easier to enforce your school’s existing security policies. To enable external authentication, go to Administration > Authentication and follow the on-screen instructions to connect your preferred provider. Once configured, staff can sign in by selecting the relevant provider on the login page. Their school email address is used to match them to their Clever School Systems account automatically.External authentication must be configured by an Administrator.
