Schools face a wide range of regulatory requirements, and the sources are scattered — DfE website rules, statutory policy obligations, financial regulations, and much more. Keeping on top of all of them manually is time-consuming and risks important checks falling through the cracks. The Compliance Audit module gathers every requirement into one place so your team can monitor, evidence, and report on compliance with confidence.

Key Features

Clever School Systems provides a default set of compliance checks covering statutory policies, website requirements, and core financial regulations. You can configure these for your school and add any additional checks you need.
  • Default checks included — a comprehensive starting set covering statutory policies, DfE website requirements, and key financial regulations, ready for you to use from day one.
  • Fully customisable — configure the checks we provide and add your own to reflect your school’s specific obligations.
  • Group-wide management for MATs — in a Multi-Academy Trust, you can manage selected requirements centrally to reduce workload at school level and maintain consistency across the group.
  • Individual ownership — assign responsibility for areas or individual checks to specific staff members so accountability is always clear.
  • Colour-coded review dates — review dates are colour-coded at a glance: overdue items, those due within four weeks, and those further ahead are all clearly distinguished.
  • Evidence notes — when you review any item you can record notes explaining how your school complies, or how you plan to develop further — building a clear audit trail throughout the year.
  • Printable audit report — print a full compliance audit report at any time as evidence of compliance for governor review.
  • Annual review reminders — owners receive weekly email reminders about items that are overdue or coming up for review. Review dates default to annually but can be set for any point up to 18 months ahead.
If a review falls due within the next four weeks, marking an item as OK rolls the next review date forward by one year from the current due date — not from today — so your annual review cycle stays on track.

Roles in Compliance Audit

Understanding the two key roles helps you set up the module correctly and ensure the right people receive reminders. Compliance Manager The Compliance Manager role is assigned by an Administrator. Compliance Managers can assign Compliance Owners to any user of the system, and can manage all Compliance Areas and Compliance Items across the audit. There should be at least one Compliance Manager in every school using the module. Compliance Owner A Compliance Owner is responsible for one or more Compliance Areas, or for individual Compliance Items within an area. Owners receive weekly email reminders when reviews are due or overdue. The owner of an area can also reassign individual items within it to another user, provided that person also holds the Compliance Owner (or Compliance Manager) role.
There is also a Compliance Viewer role for staff who need visibility of compliance status without being able to update items. Any user with view access can print individual areas or the full audit report.
