End-to-End Room Checks Lifecycle

The Site (Room Checks) module coordinates classroom, laboratory, and premises health and safety through zone organisation, statutory 28-point HSE inspections, dynamic review scheduling, and remedial action tracking.

1. Conducting Room Safety Walkthroughs

Site managers, teachers, and estates personnel conduct inspections:
1

Select Room Zone

From the main Site dashboard (/site), filter by Room Area (e.g. Science Block) and select a room (e.g. Lab 101).
2

Inspect Against 28 Statutory Standards

Review the seven statutory safety domains:
  • 1. Movement (Slips & Trips): Clear gangways, intact flooring, cable management.
  • 2. Work at Height: Elephant-foot stepstools and window openers available.
  • 3. Furniture & Fixtures: Secure cupboards, window restrictors, protected radiators.
  • 4. Manual Handling: Heavy object trolleys.
  • 5. Electrical: Intact switches/plugs, PAT test verification, zero damaged cables.
  • 6. Fire Safety: Unobstructed fire exits, easily opened doors, extinguisher checks.
  • 7. Workplace: Adequate ventilation, acceptable temperature, glare blinds.
3

Bulk Confirmation or Issue Flagging

  • Mark All OK: Click Mark all OK to confirm all active criteria in one operation.
  • Record Remedial Action: If an issue is discovered, uncheck OK and enter required maintenance details in the notes box.

2. Review Cadence & Status Thresholds

Rooms are configured with inspection intervals tailored to hazard intensity:
  • 4-Month Cadence: High-risk environments (e.g. Science Labs, D&T Workshops, Catering Kitchens).
  • 6-Month Cadence: Medium-risk spaces (e.g. PE Gymnasiums, Art Studios).
  • 12-Month Cadence: Standard general classrooms and administrative offices.

3. Estates Auditing & PDF Reporting

  • Site Compliance Dossier: Click Export PDF to generate an executive report showing room compliance percentages and open remedial actions for governors and insurance auditors.
  • Bulk Room Import: Upload pre-formatted spreadsheets (.csv or .xlsx) to populate room inventories across whole campuses.
