Initial setup requires the Administrator role. Once the module is enabled and an Enrolment Manager is assigned, the Manager takes over the process of adding students, sending invitations, and managing submissions.
Setup Steps
1
Enable the Enrolment module
Go to Administration > Modules and enable the Enrolment module.
2
Assign an Enrolment Manager
Go to Administration > Users and assign the Enrolment Manager role to the appropriate member of staff — typically your school administrator or admissions lead.
3
Navigate to Enrolment
Select Enrolment from the left-hand navigation menu to access the enrolment management area.
Adding Students
You can add students to Enrolment in two ways depending on your situation:Bulk Upload
For new year group intake. Upload a list of expected students including their names and parent or guardian email addresses. This is the fastest method when you have a full cohort to process at once.
Individual Add
For in-year admissions. Add students one at a time as they are admitted throughout the year. This is ideal for ad hoc admissions outside the main intake window.
Inviting Parents
Once students are added to the system, you can invite their parents and carers to complete the enrolment form online.1
Send invitations
Select the students you want to invite, then click Send Invitations. Each parent or carer receives an email with a personalised link to the enrolment form.
2
Parents register or log in
Parents follow the link and either register using an email address and password, or sign in with an existing social media account. No special account is needed — the process is designed to be accessible to all parents.
3
Parents complete the enrolment form
Parents fill in all required information for their child, including:
- Personal details — name, date of birth, address, home language
- Medical information — conditions, allergies, medications
- Emergency contacts — names and phone numbers
- Consents — permissions and any school-specific declarations
4
Parents submit and receive confirmation
Once the parent submits the form, they receive an automatic confirmation email containing a copy of everything they provided. This gives them a record and reassurance that their information has been received.
Reviewing Submissions
As parents complete their forms, their submissions appear in the Enrolment module for your review. You can monitor completion status across the whole cohort at a glance and identify which families have not yet responded. To chase incomplete submissions, select the relevant students and resend invitations. The email reminder directs parents straight back to their unfinished form.Exporting to Your MIS
Once all — or most — parents have submitted their forms, you are ready to export the data for import into your school MIS.1
Go to Enrolment > Export
Navigate to the Export section within the Enrolment module.
2
Download the ATF file
Download the ATF (Admissions Transfer File). This is a standardised file containing all the pupil admissions data collected through the enrolment forms.
ATF is the DfE standard format for transferring pupil admissions data between systems. All mainstream UK school MIS providers support ATF import.
3
Import the ATF into your MIS
Follow your MIS provider’s import instructions to load the ATF file. This process varies slightly between systems:
SIMS
Use the CTF/ATF import tool within SIMS Administration.
Bromcom
Use the Admissions import function in the Bromcom MIS.
Arbor
Use the Bulk Import tool within Arbor’s admissions area.
4
Print supplementary records
Additional data such as medical information can also be printed per student as a separate record. These printed records are useful for first-aid folders, lunch registers, and other day-to-day operational needs that sit outside your MIS.
