Practical Tutorials

This section provides practical, step-by-step guides for Special Educational Needs Coordinators (SENCOs), pastoral leads, teachers, and school administrators using the Pupil Provisions module.

Tutorial 1: Recording & Updating a Pupil’s Provision

Learn how to record a new intervention, update delivery status, and log rich commentary for an individual student.
1

Locate the Pupil

Navigate to Pupils (/pupils). In the search input, type the student’s name, year group, or form.
Use the With provisions toggle to filter between students with active support records and the entire school cohort.
2

Open the Pupil Profile

Click on the pupil’s name or row to open their Pupil Provision Profile (/pupils/{pupil}). Review the matrix of Provision Area cards and their current status indicator avatars.
3

Enter the Target Provision Area

Click on the relevant Area card (e.g. Social, Emotional & Mental Health (SEMH)) to open the Pupil Area Provisions workspace (/pupils/{pupil}/{area}).
4

Open the Status & Commentary Editor

Locate the specific intervention card (e.g. 1:1 ELSA Support). Click the status avatar button to open the Edit Modal.
5

Select Implementation Status

In the Status listbox, select the appropriate implementation level:
  • Implemented (Lime): Currently active single delivery.
  • Multiple implementations (Green): Delivered across multiple sessions or settings.
  • Not yet offered (Gray): Planned or recommended, awaiting launch.
  • Refused (Red): Offered but declined.
  • Ineligible (Blue): Evaluated but does not meet entry criteria.
6

Record Evaluative Notes & Save

In the rich-text Comment editor, enter specific notes regarding delivery frequency, session length, group size, targets, and specialist recommendations. Click Save to update the record instantly.

Tutorial 2: Searching & Auditing Provisions Across the Whole School

Learn how to search across all support items, audit staff workloads, and generate filtered provision reports.
1

Navigate to Provision Items Search

In the navigation menu, select Provision Items or navigate to /areas/items.
2

Apply Search & Filter Criteria

Use the multi-dimensional filter bar to refine your inventory:
  • Search Keyword: Type terms like Speech, Phonics, Sensory, or ELSA.
  • Filter by Area: Select a specific domain (e.g., Communication & Interaction) to view all related interventions.
  • Filter by Owner: Select a staff member to audit all provisions managed by that individual.
  • Filter by Status: Toggle to view active items or inspect disabled entries.
3

Edit an Item from the Directory

Click the edit icon on any item row to adjust its description or reassign the item owner (if authorised for that area).
4

Stream a Filtered PDF Report

Click Print in the top action bar. The system will compile the filtered items into an official, branded PDF document (trans_choice('provisions::provisions.item.model', 2)) and stream the download directly to your browser.

Tutorial 3: Generating Official Pupil Provision Dossiers

Learn how to produce formal, branded PDF provision summaries for parents, annual reviews, and multi-agency meetings.
1

Open the Target Pupil Record

Navigate to Pupils (/pupils) and select the student to open their profile (/pupils/{pupil}).
2

Trigger PDF Generation

In the breadcrumb header next to the pupil avatar, click the Print PDF button (<x-button.print wire:click="printOne" />).
3

Review the Generated Dossier

The system dynamically compiles all active, implemented, and non-pending provisions into structured tables grouped by Provision Area. Each table includes:
  • Provision description and intervention title.
  • Full rich-text delivery commentary and targets.
  • Colour-coded status pill (Implemented, Multiple implementations, Refused, Ineligible).
  • School logo, pupil avatar photograph, and official print timestamp.

Tutorial 4: Creating & Customising Provision Areas (Manager Guide)

Learn how Provisions Managers structure the school’s provision architecture and delegate responsibilities.
1

Access the Area Administration Console

Navigate to Manage > Areas (/admin/areas).
2

Create a New Area

Click New Area of Provision. Enter a descriptive title (e.g. Sensory & Physical Support) and select an initial Area Owner. Click Save.
3

Reorder Provision Areas

Use the drag handles (fa-bars) on table rows to reorder areas into the preferred reporting sequence.
4

Manage Nested Provision Items

Click on the area name to open Manage Area Items (/admin/area/{area}).
  • Click New Provision to add specific interventions.
  • Enter the item description and assign a dedicated Item Owner.
  • Reorder items within the area using drag handles.
5

Cascade Ownership to Nested Items

To reassign an entire area and all its items to a new leader, select the area checkbox in /admin/areas, choose Change Owners, select the new staff member, check Cascade to items, and confirm.
6

Archive or Restore Areas

Click the archive icon to soft-delete an unused area. To restore historical areas, toggle Show Archived, locate the area, and click Restore.

1

Open the Owners Directory

Navigate to Manage > Owners (/admin/owners).
2

Assign Provision Owners (provisions_own)

Select teaching assistants, ELSAs, or phase coordinators who require permission to update pupil provision statuses and log delivery notes.
3

Open the Viewers Directory

Navigate to Manage > Viewers (/admin/viewers).
4

Assign Provision Viewers (provisions_view)

Select governors, trustees, administrative staff, or student welfare officers who require read-only access to monitor provision maps and download dossiers without editing permissions.
