Provision Workflows & Lifecycles

This section details how schools leverage the Pupil Provisions module to execute statutory Special Educational Needs and Disabilities (SEND) workflows, manage graduated response cycles, and prepare evidence for Education, Health and Care Plan (EHCP) annual reviews.

1. The Graduated Response Workflow (Assess-Plan-Do-Review)

Under the statutory SEND Code of Practice, support follows an ongoing four-part cycle to ensure high-quality teaching, targeted adjustments, and specialist interventions are continuously evaluated for impact.

2. Three-Tiered Intervention Model (Waves of Provision)

The module accommodates the standard UK three-tier provision model:
  • Focus: High-quality, inclusive classroom teaching and universal reasonable adjustments accessible to all pupils.
  • Example Provisions: Visual Timetables, Differentiated Worksheets, Dual-Coding Presentations, Brain Breaks, Writing Slopes & Pencil Grips.
  • System Tracking: Categorised under relevant academic or pastoral areas; assigned to class teachers or subject coordinators.

3. Statutory EHCP Annual Review & Evidence Assembly

When preparing for statutory annual reviews or applying for an Education, Health and Care Needs Assessment (EHCNA), schools must demonstrate a sustained history of graduated intervention.
1

Collate Provision History

Open the student’s Pupil Provision Profile (/pupils/{pupil}). Review all active and historical provisions recorded across Communication & Interaction, Cognition & Learning, SEMH, and Sensory & Physical.
2

Audit Status Notes & Specialist Commentary

Click into each relevant area (/pupils/{pupil}/{area}) and verify that rich commentary details session counts, staff delivery notes, targets met, and ongoing barriers.
3

Generate the Formal PDF Dossier

Click Print PDF in the breadcrumb bar to download the formatted pupil dossier containing branded headers, student photo, categorised intervention tables, status pills, and complete notes.
4

Distribute to Local Authority & Multi-Agency Partners

Submit the generated PDF alongside teacher reports and external specialist assessments to the Local Authority SEND Casework team and review panel members.

4. Pupil Premium & Targeted Funding Accountability

Schools must demonstrate how Pupil Premium, recovery premiums, and catch-up funds are deployed to narrow attainment gaps.
  • Cohort Identification: In Pupil Provisions (/pupils), filter for target cohorts and review intervention coverage.
  • Cost & Delivery Auditing: Use Provision Items Search (/areas/items) to filter by specific funded interventions (e.g. 1:1 Tuition, Breakfast Club Mentoring, Accelerated Reader Catch-up) and review the total number of pupil allocations.
  • Governor & Trustee Reporting: Export filtered PDF item reports for governor curriculum and finance committees, demonstrating tangible, evidence-backed funding impact.

5. Year-End & Key Stage Transition Handover

During summer term transitions or primary-to-secondary transfers, preserving provision knowledge is essential to avoid regression:
1

Review & Conclude Completed Provisions

In the student’s area workspace (/pupils/{pupil}/{area}), review provisions where targets have been securely met. Update commentary to record final attainment outcomes.
2

Flag Inactive or Refused Provisions

Ensure interventions declined or discontinued are accurately marked as Refused or Ineligible with explanatory notes so new teachers understand prior attempts.
3

Export Transition Dossiers

Generate the pupil’s comprehensive PDF provision dossier to accompany transition meetings with receiving heads of year, secondary SENCOs, and form tutors.
